Until now, the method we've used to take payment from a guest or to charge them for services is to go to the dashboard and click on that guest's name. For example, for 304, we click on the name, and this 'Guest Charges and Receipts' form opens. In this, we select the item for the service they used, select it, and enter the amount. If we need to enter a quantity, we can enter that as well.
And if they have made a payment, we select the account from here and enter their payment. Or if we have to return a payment to them, we also select the account and enter the payment as a minus for 'Paid Out'. Within Munshi, there is another module which is more extensive, in which you can create more detailed bills.
For small hotels and guesthouses that don't have a restaurant, all their work related to guest charges and receipts can be done from this screen. But all the larger hotels have restaurants and other similar outlets, for which a detailed bill needs to be made. For that, Munshi has a Point-of-Sale module. It does the same job of charging the guest and taking payment from the guest, but it is done in a more detailed manner.
So in this video, we will introduce you to the Point-of-Sale module. If you need to charge any guest from the Point-of-Sale module, then just as we used to click on the name for charges, you have to click on the room number. When you click on the room number, this Point-of-Sale invoice will open. We have now automatically entered the Point-of-Sale module. The guest's name has been selected. The department is Front Office; that has also been selected. And here we can enter the items that the guest is taking from us.
For example, we'll enter item 101 for room rent. And we have to charge Rs 5,000 for this. And then we'll enter a laundry item. And look, you can search for the item by its code number and also by its name, whichever way you want to search.
So, their bill has started to be created. Now, you can enter multiple items here; you can add as many items as you want. Their calculation keeps happening, the total amount appears, then the tax appears, then the amount including tax appears. And on this same form, if the guest has paid for these services, you can take the payment, enter the amount here—whatever the amount is, 6,032—and however the guest has paid, you post it, and that amount will go to the guest's folio.
From the Point-of-Sale form, you can also change the guest's existing transactions. If you scroll down on the Point-of-Sale form, you will see a list of in-house guests on one side. All the guests are shown in it. When you click on any guest... well, here we came by clicking on this room, so the guest's name is Yusuf Khan and the room number is 304. But if we want to charge another guest from right here and we don't want to go to the dashboard, we can click on any room from here, and its details will appear here for you.
Similarly, we also have these recent invoices appearing, which we have just added from Point-of-Sale or from the Front Office's guest charges form. They are appearing here. We can open any transaction to edit it, and we can also print its bill. For example, this is a mini-bar invoice with an amount of Rs 9,703. We open it by clicking on it. So you see, this is the guest from 404. He has consumed the mini-bar, so we have already created a bill for it. And you can see many items have been entered in it. And he has also made the payment.
So, if we want to print this bill, if the guest says 'print it for me', we press the print button from here. This is currently set up for your thermal printer. It can be printed on a laser printer as well as a thermal one. So this printout will come out on your thermal printer, with all of its items. And if I want to make any changes in it, I can do that too.
Similarly, let's open something else. Here we have it, let's open a room service bill. We have opened a room service bill. Now in this room service bill, you can see what items have been entered, what the amount is, and how much tax is being applied.
So, in this way, you can create a bill here, post it to the guest, and take payment from the guest. You can also print the bill from here. And I'll print this. Again, it prints in the same way, and the printout will come from your thermal printer.
You can also get to the Point-of-Sale form from the front desk, as I mentioned earlier. In that case, instead of clicking on the name, we click on the room, and we arrive at the Point-of-Sale form. The guest's name—the guest we clicked on—appears here automatically. And you can see their other details also appear here: their address appears, and the guest's status is also showing as 'checked-in'.
The guest's company is also showing, and the company's credit limit is also appearing before us. And then the guest's due amount is also appearing before us. And how the guest is to make the payment, what the terms and conditions are, those are also set and are appearing. The room rate is shown; right now it's showing zero for some reason, as this guest doesn't have a room rate. And the check-in date and check-out date are all shown here.
If you come down, you can see all the in-house guests. If you click on any guest, they will be selected in the Point-of-Sale for billing. For example, if we select Huma Qureshi, then Huma Qureshi's record has appeared here for us. And she has been selected for billing. This guest's room has been selected for billing. Or if we select Lubna Hasan, then Lubna Hasan's guest record will also appear here for you.
From Point-of-Sale, the billing for each department is separate, and right now, Front Office is selected here. If you need to do mini-bar billing because the guest consumed the mini-bar, you will select 'mini-bar' here, and then you can type the mini-bar items in this area. If the guest has ordered food to their room, you will select 'room service' and you can do their billing by selecting the room service food items here.
And if the guest has eaten in the cafe, you will create the cafe's bill here by selecting 'cafe'. This bill will go to their room if they don't add the payment at this location. In this way, you can create a separate bill for each department. Usually, each department has a separate Point-of-Sale terminal, so if you are in the cafe, you will only see the cafe department and you won't be able to change it. If you are in room service, you will only see the room service department and you won't be able to change it.
